Step by step
Bill a term
Turn each class's fee structure into a fee invoice on every active learner's account, for the whole school or some classes, in one step.
At the start of each term, one billing raises every learner’s fee invoice from their class’s fee structure, with their optional items, bursary and sibling discount taken into account. A learner billed for the term is never billed again for it, so you can bill once more later for those who joined since.
Before you start

- Learners’ optional items and bursaries are up to date: see Give a bursary.
Open Bill a term
Choose Fees › Bill a term. Under What to bill, Kila starts with the current term and The whole school.
Choose the term
Choose it under Term. The table on the right shows each class: Fees per student, Students, Billed, To bill and the Amount this billing raises.
Choose the classes
Leave The whole school ticked, or untick it and tick the classes to bill. Learners already billed for the term are left alone either way.
Set the due date, if it differs
Leave Due date empty to use the term’s, such as “The term’s due date is 18 Sept 2026.” Without either, fees fall due the number of days the school chose after billing.
Tap Bill
The button says how many learners and how much, such as Bill 1 students · KES 40,800. Kila says Billing started: “Billing 1 students for Term 3 2026. You can leave this page; it carries on in the background.”
When it is done, Billing runs shows the run as Completed, with the number of fee invoices and the amount. Each learner’s page shows their fee invoice under Fee invoices.
Good to know
The bursary and the sibling discount come off each invoice. A sponsor who pays part of a learner’s fees is billed its share on its own account: see Fee reports and sponsors.
A learner joins after the term is billed
Link to this section: A learner joins after the term is billedBill the term again: only the new learner is billed, as above. Or open the learner and tap Bill a term there: “For a student who joined after the rest were billed. Nobody is billed twice for the same one.” Choose the term and tap Raise the invoice. A learner billed already is refused:
The button says Nothing to bill
Link to this section: The button says Nothing to billEveryone in the classes you chose has been billed for the term. Check the term and the classes.
Billing needs an owner or accountant
Link to this section: Billing needs an owner or accountantKila shows this in place of the button for someone without the right to bill, such as a fees clerk. Ask the bursar or the owner to bill the term.
- Set a term’s fee structures: what each class pays.
- Send a fee statement: what each family owes after billing.
- Bursar: fees, sponsors and the books.
Next: send the families their statements, then take fees at the counter and on the paybill.
