Set up rooms, rates and seasons

Add your room types with their prices and their rooms, give prices by rate plan and season, and set selling restrictions such as a minimum stay. The owner does this under Rooms and rates.

Everything the desk sells comes from Hotel › Rooms and rates: the room types with their prices a night, the rooms of each type, the seasons, the prices by rate plan and season, and the selling restrictions. It is for whoever sets the hotel up; at the lodge that is Samuel Kimani, the owner.

  1. Add a room type

Tap Room type (1). Give its Name, how many it Sleeps, its Rate a night and, if weekends cost more, a Weekend rate (“Empty: the same every night.”), and a Description if you like. Tap Save: Kila says Room type saved. Edit (3) changes a type later; switching off Sold stops selling it.

  2. Add its rooms

Tap Add rooms (2) on the type. Type the rooms’ names or numbers, “with commas, or a range like 101-110”, and the Floor if you like. The button counts them, such as Add 3 for 406-408.

  3. Add the seasons

Under Seasons, give a Name, the first day From (MM-DD) and the last To (MM-DD), and tap Add season. Seasons come back every year and may run over the new year; “where seasons overlap, the shorter one prices the night”. The switch beside each season puts it In use or Not used.

  4. Price each plan and season

Under Rates, choose the rate plan (5) and type each room type’s price for weekday nights and weekend nights in a season, or All year (6). “Leave empty to use the room type’s own rates.” Tap Save rates (7): Rates saved.

Rates on the Bed and breakfast plan (5): the Standard garden room's All year prices typed in, 9500 for weekdays and 11000 for weekends (6), beside its Easter, Green season, High season and Festive season prices, and Save rates (7).Rates on the Bed and breakfast plan (5): the Standard garden room's All year prices typed in, 9500 for weekdays and 11000 for weekends (6), beside its Easter, Green season, High season and Festive season prices, and Save rates (7).
  5. Add a selling restriction

Under Selling restrictions, choose the dates (From, To), the Room type and Rate plan (or every one), and what is restricted: Minimum nights, Stop-sell, Closed to arrival or Closed to departure. Tap Add restriction (9): Restriction added, and it shows in the list (8) with Remove.

Selling restrictions at the lodge: a three-night minimum on the Lake suite added (8) under the lodge's others, and the form with Add restriction (9).Selling restrictions at the lodge: a three-night minimum on the Lake suite added (8) under the lodge's others, and the form with Add restriction (9).

Good to know

Restrictions are “checked at the desk, on the booking page and for groups; a manager may book past them”. The rate plans themselves (bed and breakfast, half board, corporate and the others) are under Hotel › Hotel settings, Rate plans: “Each plan’s board basis decides the meals posted with each night; a derived plan follows another plan’s price (corporate: less 10%).” The deposit a booking asks for is there too, under Paying.

Rooms and rates is for those who set the hotel up, such as the owner. Others, even the front office manager, see Your role does not include this page.

Switch it to Not used. Seasons are not deleted: its prices are kept, and come back when you switch it In use again.

Next: take your first reservation.
