Upload a statement

Upload the M-Pesa or bank statement as CSV. Kila reads it, checks its running balance, skips lines it already has and matches each line to what was recorded.

The statement is the evidence: what really came into and left your M-Pesa and bank. Upload it, and Kila checks it line by line against what was recorded, so you see what matches, what differs and what nobody recorded.

Download the statement as CSV: from the M-Pesa business portal for a till or paybill, or from your bank’s online banking. Kila does not read Excel or PDF statements yet.

  1. Open Statements and tap Upload statements

Go to Money › Statements: “Upload statements to check them line by line against what Kila recorded, see where money came from and went, and find what nobody recorded.” Tap Upload statements.

  2. Choose the files

Tap Choose statement files and pick one or more CSV files: “CSV (comma, tab or semicolon). Excel and PDF statements are not read yet: in Excel, save as CSV; for a PDF, download the CSV from the M-Pesa portal or the bank.” Leave Statement from on Detect: “Leave on detect: the layout says”.

    Steps 2 to 5.
Upload statements: the file chosen (2), read as a bank statement with 3 lines, 3 new (3), Balances check out (4), and Import (5).Upload statements: the file chosen (2), read as a bank statement with 3 lines, 3 new (3), Balances check out (4), and Import (5).
  3. Tap Check files

Kila reads each file by its column names and says what it found, such as Bank statement (date, narration, debit, credit, balance) · 3 lines, 3 new, with the dates it covers and the money in and out.

  4. Read the balance check

Balances check out means each line’s balance follows from the one before, so no line is missing.

  5. Tap Import

Kila says 1 of 1 statement read and how many new lines it took. The statement is listed with its check.

The statement listed: bank, today, Balances check out (6), with its lines and money in and out.The statement listed: bank, today, Balances check out (6), with its lines and money in and out.
  6. See what needs you

Kila matches each line to what was recorded: a payment with the same reference matches at once. The rest waits under To review, such as On the statement, no sale in Kila: money that came in with no matching payment.

To review (7): a transfer in with no matching payment, to allocate to a customer or match. To review (7): a transfer in with no matching payment, to allocate to a customer or match.
  7. Record a charge as an expense

On the Lines tab, tap a line, such as the bank’s ledger fee. Kila says “No recorded payment looks like this line.” Under Record it as an expense, choose the Category, such as Bank and M-Pesa charges, and Paid to, then tap Record KES 345.00 as paid. Kila says Recorded as an expense.

The ledger fee's line: Record it as an expense (8), Bank and M-Pesa charges paid to NCBA Bank charges, and Record KES 345.00 as paid (9).The ledger fee's line: Record it as an expense (8), Bank and M-Pesa charges paid to NCBA Bank charges, and Record KES 345.00 as paid (9).

Save these as CSV first

Kila does not read Excel or PDF statements yet. Passwords are never asked for or kept.

Open an Excel statement and save it as CSV. For a PDF, download the CSV version from the M-Pesa portal or your bank.

Kila skips the lines it already has: the file shows 0 new, and Import says “0 new lines. Some were already imported and changed nothing.” Nothing is counted twice.

Kila shows:

Kila does not know this layout

Kila does not recognise this statement’s columns, and will not guess them. Show which column holds the date, the amount and the reference, and Kila will read files like it the same way from now on.

The columns are shown under the message, ready to choose.

Good to know

“Statement files are read once and not kept; only their lines are. Every view is recorded. Personal transactions are shown only to the owner and the people they allow.”

Next: allocate what came in and set aside your own transfers: Reconcile M-Pesa and bank statements.
