Record the cold room log

Read the cold room, display chiller and freezer thermometers morning, midday and evening and record them in Kila. A reading out of range becomes an issue for the branch.

Meat keeps only as long as it stays cold. A butchery reads its cold room and display chiller through the day; in Kila each reading goes into the Cold room log, with who read it and when, and a reading out of range becomes an issue someone has to close.

  1. Open Branch operations and tap Record on the Cold room log

Under Logs, the Cold room log says how: “Read each unit’s own thermometer morning, midday and evening. Out of range: keep the door shut, move the meat, tell the manager, read again in 30 minutes.” Tap Record.

  2. Type the cold room's reading

Read the unit’s own thermometer and type it beside Cold room or chiller, which should be 0 to 4°C, such as 2.5. Answers save as you go.

Steps 2 to 5 on one screen.
The Cold room log: the cold room at 2.5°C (2) and the display chiller at 3.5°C (3), both should be 0 to 4°C and answered by Francis Njoroge, the freezer at -19°C, Carcasses hung apart answered Yes (4), 4 of 5 answered, and Complete (5).The Cold room log: the cold room at 2.5°C (2) and the display chiller at 3.5°C (3), both should be 0 to 4°C and answered by Francis Njoroge, the freezer at -19°C, Carcasses hung apart answered Yes (4), 4 of 5 answered, and Complete (5).
  3. Type the display chiller's reading

Display chiller should also be 0 to 4°C.

  4. Answer the rest

Freezer (should be -25 to -18°C) and Carcasses hung apart, not touching the floor or walls are optional: answer them when they apply, with Yes, No or N/A. Write in Out of range: what was done and who was told when a reading was out of range.

  5. Tap Complete

The log says Done, with done by your name and the time.

The owner’s and the shop manager’s home pages count the day’s readings under Cold room readings today, with how long ago the last one was.

Good to know

Branch operations also has a Temperature log for fridges, freezers and hot food, which comes with the Food safety rules. A butchery records its cold rooms in the Cold room log.

A reading outside its range shows Not right, with your name and the time, and Raise an issue.

The display chiller read at 6°C: the line shows Not right by Francis Njoroge (1) and the button Raise an issue (2).The display chiller read at 6°C: the line shows Not right by Francis Njoroge (1) and the button Raise an issue (2).

Do what the log says: keep the door shut, move the meat, tell the manager and read again in 30 minutes. Write what you did in Out of range: what was done and who was told. Tap Raise an issue to report it at once. If you complete the log with the reading still out of range, Kila raises the issue itself when you tap Complete:

Kila shows:

Done

Issues raised: ISS-000005.

The issue is named after the reading, such as Display chiller: 6.5°C (should be 0 to 4°C), with High priority.

Needs a manager

The shop manager follows the issue under Branch operations, on Issues, until it is fixed and marks it Resolved. “The person who raised it, or a manager, verifies it.”

Branch operations are not available to you

Ask an owner for access.

Your role does not include the right to complete checklists and logs. Cashiers, butchers and managers have it; a storekeeper does not. The owner can give you a role that has it under Users and roles.

  • Food safety: the rules behind the log, and what an inspector may ask for.
  • Butcher: the cold room log in a butcher’s day.
  • Butchery: the closing clean and the other branch checks.
  • Branch operations: checklists, audits and the issues log for each branch.

Next: read it again at midday and in the evening, and before you close.
