Step by step
Sell a medicine that needs a pharmacist
A pharmacy-only medicine is sold only after a pharmacist approves it, by signing in at your till or from Approvals on their phone.
A pharmacy-only medicine, marked P on the till, leaves the counter only with a pharmacist’s approval. Kila asks for it on the payment screen and keeps the payment buttons grey until the pharmacist has approved. A medicine that needs a prescription asks for that too: see Dispense a prescription.
Before you start
Link to this section: Before you start- A pharmacist is on duty at your branch. Kila shows who under Pharmacy › On duty, refills and owings: Sign on duty.
Add the medicine and tap Charge
Find the medicine and tap it into the cart. A pharmacy-only medicine has P on its tile. Tap Charge.
Choose how the pharmacist approves
The payment opens with Pharmacy medicines: and the medicine, and “A pharmacist approves …”. Choose Pharmacist signs in here when the pharmacist is beside you, or Ask a pharmacist to send the request to their phone.
The pharmacist signs in and taps Approve
With Pharmacist signs in here, the pharmacist types their own email and password in Pharmacist’s email and Password and taps Approve. The panel turns green: Approved by Dr. Brian Otieno.
With Ask a pharmacist, tap the Ask a pharmacist button. Kila says Sent to the pharmacist: “They approve it under Approvals, on their phone or here. This till updates on its own.” The panel shows Waiting for the pharmacist… with Cancel. Once they approve, the till says “Dr. Brian Otieno approved the medicines. Take payment.” See Approve medicines for the till.
Take the payment
The payment buttons open. Take cash, M-Pesa, card or a bank transfer as for any sale, and Kila shows Sale S-… complete.
Good to know
A pharmacist who rings the sale on their own till approves it as they sell, with nothing to ask. See Approve medicines for the till.
The pharmacist’s sign-in is refused
Link to this section: The pharmacist’s sign-in is refusedOnly the sign-in of someone Kila treats as a pharmacist approves: a Pharmacist or Pharmaceutical technologist with their PPB registration number recorded. Ask them to type it again. Your own email and password never approve.
The pharmacist says no
Link to this section: The pharmacist says noThe panel then says “The pharmacist said no last time.” Take the medicine off the sale and sell the rest, or ask again once you have spoken to the pharmacist.
No pharmacist is on duty
Link to this section: No pharmacist is on dutyNothing is recorded and the payment you took stays on the screen. Once a pharmacist signs on at your branch, tap Complete sale again.
This happens with an approval from Approvals. A pharmacist who approves at your till, with Pharmacist signs in here, is there in person: Kila signs them on duty at your branch and the sale goes through.
The payment buttons stay grey
Link to this section: The payment buttons stay greyTheir hint says “A pharmacist must approve the medicines first.” Get the approval in the panel above them.
